Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using Our Service, We ask You to provide certain personally identifiable information that can be used to contact or identify You, limited to what the Service needs:

  • Your first name and last name
  • Email address and mobile phone number (as registered with the School)
  • Your School and Your profile photo
  • One-time passwords (OTPs) used to sign You in. Sign-in is OTP-only: We send a short-lived code to Your registered mobile number and/or email. The Application never stores a password.

Student Data (displayed to You)

When You sign in, the Application shows information about Your own child(ren) only, including: name, class, student card ID, profile photo, attendance records, diary entries, notices, school calendar events, timetable, quiz and assessment results, library book records, learning-style / multiple-intelligence assessment reports prepared by the School, leave records, and school-transport (bus) trip details.

Content You Submit

  • Leave applications for Your child (reason, dates, and optional attachments such as images or documents).
  • Feedback and complaints, including messages You exchange with School staff in the feedback conversation, and any attachments.
  • Replies to diary entries addressed to Your child’s teacher.

Attachments You upload are stored on Our cloud storage (Amazon Web Services S3/CloudFront) and are visible only to the relevant School staff and You.

Usage Data

Usage Data is collected automatically when using the Service. It is limited to: Your Device type and operating system, Your Device’s IP address recorded in Our server logs, and a push-notification token (Firebase Cloud Messaging) used to deliver notifications to Your Device. We use this data solely for security, troubleshooting, and delivering notifications. The Application contains no analytics or behavioural-tracking technology.

Information Collected with Your Permission While Using the Application

While using Our Application, in order to provide its features, We may collect, only with Your prior permission:

  • Location — used only while the live bus-tracking screen is open, and only to centre the map on Your position. Your location is never stored and never transmitted to Our servers or anyone else. During an active trip You receive the live position of the school bus (the driver’s device); Your Device does not broadcast anything.
  • Camera and photo library — only when You choose to attach a photo or file (for example to a leave request or feedback). We never access Your photos in the background.
  • Calendar — only when You choose to add a school event to Your Device calendar.
  • Notifications — with Your permission, to deliver school updates.
  • Fingerprint / Face unlock — if You enable the optional app lock, biometric verification happens entirely on Your Device through the operating system. We never receive, collect, or store any biometric data.
  • OTP auto-fill — on Android, the Application may use Google’s SMS User Consent service to auto-fill the OTP You receive. The Application does not have permission to read Your SMS inbox.

You can enable or disable access to this information at any time through Your Device settings.

Fees and Online Payments

Where Your School enables online fee payment, the Application shows Your child’s fee structure, dues, discounts, payment history, and receipts, and lets You pay school fees online.

  • Online payments are processed by Razorpay, a third-party payment gateway regulated in India. You enter Your card, UPI, or net-banking details directly in Razorpay’s secure payment interface — We never collect, see, or store Your card number, UPI PIN, CVV, or banking passwords.
  • To start a payment, Your name, email address, mobile number, and the payment amount are shared with Razorpay to pre-fill and process the transaction. Razorpay’s processing of Your data is governed by its own privacy policy (https://razorpay.com/privacy/).
  • We receive and retain only the payment outcome: order ID, payment ID, amount, status, and the fee items paid — used to record the payment against Your child’s fee account and to generate receipts.
  • Fee receipts (PDF) are saved to Your Device only when You choose to download them.

Use of Your Personal Data

The Company uses Personal Data only for the following purposes:

  • To provide and maintain our Service, including to keep You signed in and display Your child’s school information to You.
  • To manage Your Account and Your registration as a user of the Service.
  • To operate the communication features: leave applications, feedback conversations, and diary replies between You and the School.
  • To process school-fee payments You initiate and to issue receipts.
  • To show live bus-trip positions during Your child’s school-transport trips.
  • To contact You with push notifications about diary entries, notices, and other school updates.
  • To ensure security: authentication, session management, and fraud and abuse prevention.
  • To comply with legal obligations, including accounting and tax law for payment records.

We do not use Your Personal Data for advertising, marketing, profiling, or any purpose not listed above, and We never sell Personal Data.

Legal Basis for Processing (GDPR Article 6)

Where the GDPR applies, We rely on the following legal bases:

  • Performance of a contract (Art. 6(1)(b)) — providing the Service to You: Your Account, sign-in, displaying Student Data, communication features, and payments You initiate.
  • Consent (Art. 6(1)(a)) — optional device permissions (location, camera, photos, calendar, notifications) and the optional biometric app lock. You may withdraw consent at any time in Your Device settings without affecting the core Service.
  • Legitimate interests (Art. 6(1)(f)) — security logging, fraud and abuse prevention, and service troubleshooting, balanced against Your rights and freedoms.
  • Legal obligation (Art. 6(1)(c)) — retention of payment and transaction records under accounting and tax law.
  • Student educational records, including assessment reports, are processed on the School’s instructions; the School is responsible for establishing its lawful basis and obtaining any required parental consents.

Automated Decision-Making

We do not use Your Personal Data or Student Data for automated decision-making or profiling that produces legal or similarly significant effects.

Sharing Your Personal Data

We share Personal Data only in the following situations:

  • With the School: the School and its authorised staff operate the platform Your data lives on; content You submit (leave requests, feedback, diary replies) is shared with the relevant staff.
  • With Service Providers, who process data on Our behalf under contract and only on Our instructions: Google Firebase Cloud Messaging (push-notification delivery), Amazon Web Services (cloud storage and hosting), Google Maps (map display on the tracking screen), Razorpay (online fee payment processing, where enabled by Your School), and an SMS/email delivery provider (OTP delivery).
  • For legal requirements: where required by law or a valid request by public authorities (e.g. a court or government agency), to comply with a legal obligation, protect the rights or property of the Company, prevent or investigate wrongdoing, or protect the personal safety of users or the public.
  • Business transfers: if the Company is involved in a merger, acquisition, or asset sale, Your Personal Data may be transferred; We will provide notice before Your Personal Data becomes subject to a different Privacy Policy.

We do not share Personal Data with advertisers, data brokers, or any other third parties, and We never sell or rent Personal Data.

What We Do NOT Collect

  • No advertising. The Application contains no ads, no advertising SDKs, and does not use Your Device’s advertising ID.
  • No third-party analytics or tracking. The Application contains no analytics or behavioural-tracking SDKs, and no cookies.
  • No background location. Location is used only in the foreground while the tracking screen is open, and is not collected by Us at all.
  • No card, UPI, or banking credentials. Payment instrument details are entered only in the payment gateway’s own secure interface.
  • No contacts, call logs, or SMS content.

Retention of Your Personal Data

The Company retains Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy:

  • Account data — while Your child is enrolled at a School using the platform, and thereafter only for the period the School or applicable law requires.
  • Student Data — retained under the School’s retention policy as its Data Processor.
  • Payment and transaction records — for the period required by accounting and tax law.
  • Server logs — for a short period, for security purposes only.

When data is no longer required, it is deleted or anonymised.

Transfer of Your Personal Data

Your information is processed at the Company’s operating offices and at the facilities of Our Service Providers, which may be located outside Your state, province, or country. Where Personal Data protected by the GDPR is transferred outside the EEA/UK, We ensure appropriate safeguards are in place, such as the European Commission’s Standard Contractual Clauses or transfers to countries with an adequacy decision. You may contact Us for information on the safeguards applicable to a specific transfer.

Delete Your Personal Data and Your Account

You have the right to delete or request that We assist in deleting the Personal Data that We have collected about You.

You may request deletion of Your Account and associated Personal Data at any time by contacting Us at info@tedqu.com or through Your child’s School (accounts can also be deactivated by the School through the TedQu web platform). We will action the request within a reasonable period, except where the School or applicable law requires certain school or payment records to be retained.

Security of Your Personal Data

All communication between the Application and Our servers uses HTTPS encryption. Sign-in tokens and session data are stored in Your Device’s hardware-backed encrypted storage (Android Keystore / iOS Keychain) and are removed when You sign out. Access is role-based and tenant-isolated: You can only ever see records relating to Your own child(ren). While We use commercially reasonable, industry-standard means to protect Your Personal Data, no method of transmission over the Internet or electronic storage is 100% secure, and We cannot guarantee its absolute security.

Your GDPR Data Protection Rights

Where the GDPR applies to You, You are entitled to the following rights:

  • The right to be informed — this Privacy Policy tells You how Your data is processed.
  • The right of access — You have the right to request copies of Your Personal Data.
  • The right to rectification — You have the right to request that We correct information You believe is inaccurate, or complete information You believe is incomplete.
  • The right to erasure — You have the right to request that We erase Your Personal Data, under certain conditions.
  • The right to restrict processing — You have the right to request that We restrict the processing of Your Personal Data, under certain conditions.
  • The right to object to processing — You have the right to object to Our processing of Your Personal Data, under certain conditions.
  • The right to data portability — You have the right to request that We transfer the data We have collected to another organisation, or directly to You, under certain conditions.
  • The right to withdraw consent — where processing is based on consent, You may withdraw it at any time (for device permissions, through Your Device settings).

If You make a request, We will respond within one month, free of charge. To exercise any of these rights, contact Us at info@tedqu.com. Requests concerning Student Data will be handled together with the School as its controller. You also have the right to lodge a complaint with a supervisory authority, in particular in the EU/UK member state of Your habitual residence, place of work, or place of the alleged infringement.

Your Rights Under India’s DPDP Act, 2023

Where the DPDP Act applies to You, You have the right to: access a summary of Your Personal Data and the processing activities; correction, completion, and updating of Your Personal Data; erasure of Personal Data no longer necessary; grievance redressal through Our Grievance Officer; and to nominate another individual to exercise Your rights in the event of death or incapacity. Contact the Grievance Officer at info@tedqu.com. If You are not satisfied with Our response, You may complain to the Data Protection Board of India.

Children’s Privacy

The Application is intended for use by adults — parents and legal guardians. Children are not permitted to create Accounts, and We do not knowingly collect Personal Data directly from anyone under 18. Student Data shown in the Application is educational data maintained by the School, processed on the School’s instructions with any required parental consents obtained by the School, and displayed only to that student’s own parent or guardian and authorised School staff. If You believe a child has created an Account or that student information is visible to someone not entitled to see it, contact Us at info@tedqu.com and We will act promptly.

Links to Other Websites

Our Service may contain links to other websites that are not operated by Us (for example, an attachment or a school-shared link). If You click on a third-party link, You will be directed to that third party’s site. We strongly advise You to review the Privacy Policy of every site You visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page, updating the “Last updated” date at the top, and — for material changes — via a prominent notice in the Application before the change becomes effective. You are advised to review this Privacy Policy periodically for any changes.
