Privacy Policy — TedQu School

How TedQu collects, uses and protects information from our School application.

This Privacy Policy describes Our policies and procedures on the collection, use, disclosure, and protection of information when You use the TedQu School mobile application, and tells You about Your privacy rights and how the law protects You.

We use Your Personal Data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy. We are committed to processing personal data in accordance with the EU/UK General Data Protection Regulation (GDPR), India’s Digital Personal Data Protection Act, 2023 (DPDP Act), and other applicable data-protection laws.

Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Definitions

For the purposes of this Privacy Policy:

  • Account means a unique account created for You to access our Service or parts of our Service.
  • Application refers to TedQu School, the software program provided by the Company for school employees, available on Android and iOS (application/package identifier: `com.tedqu.school`).
  • Company (referred to as either “the Company”, “We”, “Us” or “Our” in this Agreement) refers to WizdomEdge Solutions, 4th Floor, Chamiers Tower, Pasumpon Muthuramalinga Thevar Road, Austin Nagar, Alwarpet, Chennai, Tamil Nadu 600018, India.
  • Country refers to: Tamil Nadu, India.
  • Device means any device that can access the Service such as a cellphone, tablet, or television.
  • Personal Data is any information that relates to an identified or identifiable individual.
  • School means the educational institution that employs You, uses the TedQu platform, and determines what student and staff information is maintained on it.
  • Service refers to the Application.
  • Service Provider means any natural or legal person who processes data on behalf of the Company, such as third-party companies employed by the Company to facilitate or provide the Service.
  • Student Data means Personal Data relating to students that You view or create in the Application as part of Your role at the School.
  • Usage Data refers to data collected automatically, generated by the use of the Service or from the Service infrastructure itself.
  • You means the teacher, coordinator, transport staff member, or other School employee accessing or using the Application.

Data Controller, Data Processor, and Contact Details

For the purposes of the GDPR and the DPDP Act:

  • WizdomEdge Solutions is the Data Controller for Your staff Account and sign-in data, device and technical data, and the technical operation of the Service.
  • The School is the Data Controller of Student Data and staff employment records. When You record attendance, write diary entries, administer assessments, or create other records in the Application, You do so as part of Your role at the School; We process that information as a Data Processor on the School’s documented instructions. Questions about school records should be directed to the School; We will assist with any request.

Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using Our Service, We ask You to provide certain personally identifiable information that can be used to contact or identify You, limited to what the Service needs:

  • Your first name and last name
  • Email address and mobile phone number (as registered by the School)
  • Your role(s), School, and profile photo
  • One-time passwords (OTPs) used to sign You in. Sign-in is OTP-only: We send a short-lived code to Your registered mobile number and/or email. The Application never stores a password.

Information You Create or Handle in Your Role

Depending on Your role and School configuration, the Application lets You view and create school records, including:

  • Attendance — marking students present or absent, including an optional camera-based scan of printed student ID cards. Card scanning happens entirely on Your Device: the camera detects the card’s printed code only; no photos or video are captured, stored, or uploaded.
  • Diary entries, notices, and school calendar events You author for classes or students, including attachments, and replies exchanged with parents.
  • Classroom media — photos You upload to school gallery albums (for example event photos).
  • Assessments — quizzes and question papers You author, student results, and learning-style / multiple-intelligence assessment questionnaires You administer, including per-student answers and the resulting reports.
  • Student observation records — anecdotal and disciplinary notes You record about students as part of the School’s processes.
  • Leave — Your own leave applications and, per role, student leave records.
  • Feedback — parent feedback threads You respond to, and internal staff-only comments.
  • Timetables, lesson plans, and reports — including a staff directory showing colleagues’ names, roles, and school contact details.

Attachments and media are stored on Our cloud storage (Amazon Web Services S3/CloudFront) and are visible only to the audience the School’s roles and permissions allow.

Live Bus Tracking (Transport Roles Only)

If You operate a school bus trip, then only while a trip is active and the Application is open in the foreground, the Application reads Your Device’s GPS position and broadcasts it (position, speed, and time) so that parents of students on that trip, and School transport managers, can follow the bus. Location sharing stops when the trip ends or the Application leaves the foreground. No location history is stored on Your Device, and the Application never tracks You in the background. Other staff roles are not location-tracked; opening a tracking map as a viewer uses Your position only to centre the map and transmits nothing.

Usage Data

Usage Data is collected automatically when using the Service. It is limited to: Your Device type and operating system, Your Device’s IP address recorded in Our server logs, and a push-notification token (Firebase Cloud Messaging) used to deliver notifications to Your Device. We use this data solely for security, troubleshooting, and delivering notifications. The Application contains no analytics or behavioural-tracking technology.

Information Collected with Your Permission While Using the Application

While using Our Application, in order to provide its features, We may collect, only with Your prior permission:

  • Location — only as described under Live Bus Tracking above.
  • Camera and photo library — only when You choose to attach or upload media, or when You start a card-scan attendance session. Never accessed in the background.
  • Calendar — only when You choose to add a school event to Your Device calendar.
  • Notifications — with Your permission, to deliver school updates.
  • Fingerprint / Face unlock — if You enable the optional app lock, biometric verification happens entirely on Your Device through the operating system. We never receive, collect, or store any biometric data.
  • OTP auto-fill — on Android, the Application may use Google’s SMS User Consent service to auto-fill the OTP You receive. The Application does not have permission to read Your SMS inbox.

You can enable or disable access to this information at any time through Your Device settings.

Use of Your Personal Data

The Company uses Personal Data only for the following purposes:

  • To provide and maintain our Service, including to keep You signed in and provide the school-workflow features listed above.
  • To manage Your Account and Your registration as a user of the Service.
  • To deliver live trip positions to entitled parents and transport managers during active trips You operate.
  • To contact You with push notifications about school updates relevant to Your role.
  • To ensure security: authentication, role-based access control, session management, and fraud and abuse prevention.
  • To comply with legal obligations.

We do not use Your Personal Data for advertising, marketing, profiling, or any purpose not listed above, and We never sell Personal Data.

Legal Basis for Processing (GDPR Article 6)

Where the GDPR applies, We rely on the following legal bases:

  • Performance of a contract (Art. 6(1)(b)) — providing the Service to You: Your Account, sign-in, and the workflow features of Your role.
  • Consent (Art. 6(1)(a)) — optional device permissions (location, camera, photos, calendar, notifications) and the optional biometric app lock. You may withdraw consent at any time in Your Device settings; location sharing for a bus trip stops the moment You end the trip or leave the Application.
  • Legitimate interests (Art. 6(1)(f)) — security logging, fraud and abuse prevention, and service troubleshooting, balanced against Your rights and freedoms.
  • Legal obligation (Art. 6(1)(c)) — retention of records We are legally required to keep.
  • Student educational records You create (attendance, assessments, observation records) are processed on the School’s instructions; the School is responsible for establishing its lawful basis and obtaining any required parental consents.

Automated Decision-Making

We do not use Your Personal Data or Student Data for automated decision-making or profiling that produces legal or similarly significant effects.

Sharing Your Personal Data

We share Personal Data only in the following situations:

  • With the School and its authorised users: records You create are visible to the audiences the School’s roles and permissions define (for example, a diary entry to the parents of the addressed students; a bus position to parents of students on that trip; a staff directory entry to colleagues).
  • With Service Providers, who process data on Our behalf under contract and only on Our instructions: Google Firebase Cloud Messaging (push-notification delivery), Amazon Web Services (cloud storage and hosting), Google Maps (map display on tracking screens), and an SMS/email delivery provider (OTP delivery). Training videos in the Application’s help section are embedded from YouTube, which may collect standard viewing data under Google’s privacy policy when You play a video.
  • For legal requirements: where required by law or a valid request by public authorities (e.g. a court or government agency), to comply with a legal obligation, protect the rights or property of the Company, prevent or investigate wrongdoing, or protect the personal safety of users or the public.
  • Business transfers: if the Company is involved in a merger, acquisition, or asset sale, Your Personal Data may be transferred; We will provide notice before Your Personal Data becomes subject to a different Privacy Policy.

We do not share Personal Data with advertisers, data brokers, or any other third parties, and We never sell or rent Personal Data.

What We Do NOT Collect

  • No advertising. The Application contains no ads, no advertising SDKs, and does not use Your Device’s advertising ID.
  • No third-party analytics or tracking. The Application contains no analytics or behavioural-tracking SDKs, and no cookies.
  • No background location, and no location tracking outside an active bus trip You start Yourself.
  • No facial recognition or biometric identification of any person.
  • No contacts, call logs, or SMS content.

Retention of Your Personal Data

The Company retains Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy:

  • Account data — while You are employed at a School using the platform, and thereafter only for the period the School or applicable law requires.
  • Student Data You create — retained under the School’s retention policy as its Data Processor.
  • Server logs — for a short period, for security purposes only.

When data is no longer required, it is deleted or anonymised.

Transfer of Your Personal Data

Your information is processed at the Company’s operating offices and at the facilities of Our Service Providers, which may be located outside Your state, province, or country. Where Personal Data protected by the GDPR is transferred outside the EEA/UK, We ensure appropriate safeguards are in place, such as the European Commission’s Standard Contractual Clauses or transfers to countries with an adequacy decision. You may contact Us for information on the safeguards applicable to a specific transfer.

Delete Your Personal Data and Your Account

You have the right to delete or request that We assist in deleting the Personal Data that We have collected about You.

You may request deletion of Your Account and associated Personal Data at any time by contacting Us at info@tedqu.com or through Your School (staff accounts can also be deactivated by the School through the TedQu web platform). We will action the request within a reasonable period, except where school records You created in Your professional role must be retained by the School or by law.

Security of Your Personal Data

All communication between the Application and Our servers uses HTTPS encryption. Sign-in tokens and session data are stored in Your Device’s hardware-backed encrypted storage (Android Keystore / iOS Keychain) and are removed when You sign out. Access is strictly role-based and tenant-isolated: You can only see and create records Your School role permits. Student assessment and observation records are treated as sensitive data with restricted access. While We use commercially reasonable, industry-standard means to protect Personal Data, no method of transmission over the Internet or electronic storage is 100% secure, and We cannot guarantee its absolute security.

Your GDPR Data Protection Rights

Where the GDPR applies to You, You are entitled to the following rights:

  • The right to be informed — this Privacy Policy tells You how Your data is processed.
  • The right of access — You have the right to request copies of Your Personal Data.
  • The right to rectification — You have the right to request that We correct information You believe is inaccurate, or complete information You believe is incomplete.
  • The right to erasure — You have the right to request that We erase Your Personal Data, under certain conditions.
  • The right to restrict processing — You have the right to request that We restrict the processing of Your Personal Data, under certain conditions.
  • The right to object to processing — You have the right to object to Our processing of Your Personal Data, under certain conditions.
  • The right to data portability — You have the right to request that We transfer the data We have collected to another organisation, or directly to You, under certain conditions.
  • The right to withdraw consent — where processing is based on consent, You may withdraw it at any time (for device permissions, through Your Device settings).

If You make a request, We will respond within one month, free of charge. To exercise any of these rights, contact Us at info@tedqu.com. Requests concerning Student Data or employment records will be handled together with the School as its controller. You also have the right to lodge a complaint with a supervisory authority, in particular in the EU/UK member state of Your habitual residence, place of work, or place of the alleged infringement.

Your Rights Under India’s DPDP Act, 2023

Where the DPDP Act applies to You, You have the right to: access a summary of Your Personal Data and the processing activities; correction, completion, and updating of Your Personal Data; erasure of Personal Data no longer necessary; grievance redressal through Our Grievance Officer; and to nominate another individual to exercise Your rights in the event of death or incapacity. Contact the Grievance Officer at info@tedqu.com. If You are not satisfied with Our response, You may complain to the Data Protection Board of India.

Children’s Privacy

The Application is intended for use by adult School staff only; children are not permitted to create Accounts, and We do not knowingly collect Personal Data directly from anyone under 18. In the course of Your work, the Application processes students’ educational information (including attendance, assessment results, and observation records) on behalf of and under the authority of the School, which obtains any required parental consents. This data is visible only to authorised School staff and, where a feature provides for it, the student’s own parent or guardian. If You believe student information is accessible to someone not entitled to see it, contact Us at info@tedqu.com and We will act promptly.

Links to Other Websites

Our Service may contain links to other websites that are not operated by Us (for example, an attachment, a school-shared link, or an embedded training video). If You click on a third-party link, You will be directed to that third party’s site. We strongly advise You to review the Privacy Policy of every site You visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page, updating the “Last updated” date at the top, and — for material changes — via a prominent notice in the Application before the change becomes effective. You are advised to review this Privacy Policy periodically for any changes.
